The Video Retainer

Privacy Policy

Last updated 13 October 2026

This policy explains what personal data we collect when you visit thevideoretainer.com, book a call, or join The Video Retainer membership, why we collect it, who we share it with, and what rights you have.

1. Who is responsible for your data

The Video Retainer, operated by Christian Tyahur in the Czech Republic (“we”, “us”), decides how and why your personal data is used and is the “controller” under the EU General Data Protection Regulation (GDPR).

You can contact us about anything in this policy at support@thevideoretainer.com.

2. What we collect, why, and on what legal basis

Visiting our website

We do not run analytics, advertising or tracking tools, and our site does not set cookies of its own. Our typeface (Archivo) is hosted on our own server, not loaded from Google Fonts. When your browser loads the page, some technical data (such as your IP address and browser type) is unavoidably received by the services that deliver it: our hosting provider (Vercel), and YouTube (which serves the preview video, via its privacy-enhanced youtube-nocookie.com domain, where one is embedded).

Legal basis: our legitimate interest in running and securing the website (GDPR Art. 6(1)(f)).

Joining the membership (payments)

Checkout is run by Stripe. Stripe collects your email address, payment details, billing country and related information. We receive your email address, name (if you give it), country, and the status of your subscription and payments. We never see or store your full card number.

Legal basis: to perform our contract with you (Art. 6(1)(b)), and to keep accounting and tax records we are legally required to keep (Art. 6(1)(c)). For its own fraud-prevention and legal purposes, Stripe also acts as a separate controller of some of this data; see Stripe’s privacy policy.

Booking a call

When you book through our scheduling tool (Cal.com) we receive your name, email address, time zone, the time you chose, and your answer to the question we ask on the booking form. We keep a record of bookings in a private spreadsheet so we can prepare for and follow up on the call.

Legal basis: steps you ask us to take before entering into a contract (Art. 6(1)(b)), and our legitimate interest in managing bookings (Art. 6(1)(f)).

Requesting a video (order form)

If you fill in the request form on our video-order page, we receive your name, email address, business name, city, industry, which option you are interested in (monthly or one-time) and the message you write. It is stored in a private Google Sheet, and we get an email with your request. We use it to review your request, reply to you and, if you want to go ahead, set up a call before any work starts. Sending the form does not charge you or commit you to anything.

Legal basis: steps you ask us to take before entering into a contract (Art. 6(1)(b)), and our legitimate interest in answering enquiries (Art. 6(1)(f)).

Client onboarding form (for video clients)

If we have agreed to make a video for your business and you fill in our onboarding form, we receive your business details, your name, phone and WhatsApp number, email address, the package you chose, your answers about your style, goals and screens, and the files you upload (such as your logo, photos and brand guidelines). They are stored in a private Google Drive folder and Google Sheet. We use them to make your video and to contact you about it, and we send you one confirmation email.

Members of our community can give their own clients a link to a copy of this form (an address starting with thevideoretainer.com/onboarding/, showing that member's business name). If you fill in the form through such a link, your answers and files go directly to that member's own Google account, not to us. We don't receive, see or store them; that member is responsible for them, so please contact them about your data.

Legal basis: to perform our agreement with you, or steps you ask us to take before it (Art. 6(1)(b)).

Joining the founding waitlist

If you join the waitlist on our founding page, we receive your first name, email address, which path interests you, your business or industry (if you give it), your browser’s language, the page and campaign link you came from, and the time you joined. It is stored in a private Google Sheet. We use it to send you a confirmation and to tell you when membership opens and about your founding price. Joining costs nothing and commits you to nothing.

Legal basis: your consent, given by ticking the box on the form (Art. 6(1)(a)). You can withdraw it at any time by replying “remove me” to any of our emails or by contacting us, and we delete your details.

Our Quick Start questionnaire

If you fill in our short questionnaire, we receive your email address and your answers (for example, which track you are interested in and what kind of business you have). We use them to point you to the right lessons.

Legal basis: your consent, given by submitting the form (Art. 6(1)(a)). You can withdraw it at any time by contacting us.

The community and support

The community is hosted on Skool, which has its own privacy policy; what you post there is visible to other members. If you email us, we receive your email address and whatever you tell us, and we use it to reply.

Legal basis: to perform our contract with you (Art. 6(1)(b)) and our legitimate interest in answering your questions (Art. 6(1)(f)).

3. Who we share your data with

We use these service providers to run The Video Retainer. Each receives only the data it needs for its job:

We do not sell your personal data and we do not use it for advertising. We may disclose it if the law requires us to.

4. Transfers outside the EU/EEA

Some of these providers are based in, or process data in, the United States. Where that happens, they typically rely on safeguards recognised under EU law, such as the EU–US Data Privacy Framework or the European Commission’s Standard Contractual Clauses. You can ask us for more detail at any time.

5. How long we keep your data

6. Cookies

This website does not set cookies of its own. Services you reach through links or embeds — Stripe checkout, Cal.com booking pages, Skool and YouTube — may set their own cookies under their own policies.

7. Your rights

Under the GDPR you have the right to:

To use any of these rights, email support@thevideoretainer.com. We will reply within one month.

You also have the right to complain to a data protection authority. In the Czech Republic that is the Office for Personal Data Protection (Úřad pro ochranu osobních údajů, ÚOÚ), Pplk. Sochora 27, 170 00 Praha 7, www.uoou.gov.cz.

8. Automated decisions and children

We do not make decisions about you by automated means or build profiles of you. Our service is not directed at children under 16, and we do not knowingly collect their data.

9. Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed, and we will announce significant changes in the community.
